HATFIELD Full time This position reports directly to the Development Manager and is a member of the Development and Marketing Team. The position overview: The Event Coordinator will provide support to all events and campaigns to benefit The Food Bank of Western Massachusetts. This team member will also play an instrumental role in generating leads and cultivating relationships with corporate supporters. This position requires a very detail-oriented, organized self-starter who has a passion for events, campaigns, and creating a high-quality donor experience. Primary responsibility also includes building awareness of The Food Bank, its mission, programs and achievements.


Assist Development Manager in coordinating all logistics for Food Bank events such as: transporting event supplies, placing orders for event materials, check-in and registration, record keeping, mailings, donor correspondence, marketing assistance and other tasks as assigned
Monitor progress of event registrations, ticket sales, and income
Track and collect funds for events
Develop relationships with community members and businesses to encourage and initiate new events to benefit The Food Bank
Coordinate any 3rd party event logistics with community members or businesses who reach out to The Food Bank, including but not limited to the documentation of event and campaign agreements, sending Food Bank collateral, etc.
Assist with 3rd party events as well as supervise volunteers at events when needed
Track all 3rd party events appropriately and generate thank you notes to acknowledge donors
Recruit and work with volunteer committees in support of Food Bank events
Acquire and collect in-kind donations for events and campaigns
Work with the Volunteer and Community Engagement Coordinator to ensure proper volunteer staffing and training at Food Bank events
Schedule speaking and check presentations for appropriate Food Bank staff as needed
Manage event fundraising software to assist event participants as needed
Assist with the marketing and promotion of events
Facilitate outreach to businesses, clubs, etc. to encourage their participation and/or promotion of Food Bank events


Serve as back up for Volunteer and Community Engagement Coordinator in working with volunteers as needed, including some nights and weekends
Develop and provide reports as necessary
Collaborate with Manager, Director, and entire Development team, and appropriate Food Bank staff to accomplish organizational goals
Table or speak at community events as needed to help promote the work of The Food Bank
Follow all Development division and Food Bank policies and procedures
Perform other similar duties as required (by responsibility or necessity) or as requested by the Development Manager


Education & Training
Associates Degree or equivalent; Bachelor's Degree preferred

One to three years of relevant event planning and/or nonprofit development work
One to three years of relevant event planning and/or nonprofit development work
